The process of managing this influx is highly manual, requiring staff to unpack boxes, meticulously review paper packing lists and invoices, and then manually enter the data into practice management systems. Industry publications like Dental Economics report that administrative staff can spend up to 5 hours per week on this process alone, creating a costly operational bottleneck and increasing the risk of data entry errors.

The Solutions

We developed a mobile application that uses AI to completely automate the inventory intake process. As supplies arrive, staff simply use the app to capture images of the packing lists and invoices. An AI engine then reads and understands the documents, automatically extracting and organizing all relevant data by product SKU, units, prices, and manufacturer. The solution produces a data file that can be instantly uploaded to the practice's management system, sends an automated summary to the practice manager via email, and maintains a secure digital record of all documents for easy reference.
